Tracking US settlement documents automatically: Why is just checking USCIS and CEAC not enough?

Many people are tracking their US settlement files by opening USCIS to check Case Status, then logging in to CEAC when the file is transferred to NVC.

This can work when the profile is simple.

But with family settlement records spanning many years, manual tracking begins to become difficult.

A record can be related to multiple systems and multiple timelines.

USCIS.

NVC.

CEAC.

Visa Bulletin.

DS-260.

Civil Documents.

Affidavit of Support.

Documentarily Complete.

Interview.

Medical Examination.

Visa Decision.

If only checking each individual system, it is easy for users to know the "current status" but not know "what to do next".

IMMIGRATION PROFILE IS NOT JUST ONE TIMELINE

A family-based profile can have multiple timelines running in parallel.

The first timeline is USCIS.

This timeline may begin from the date USCIS receives the I-130 and continue until the petition is approved.

The second timeline is NVC.

After the petition is transferred to the Department of State, the file enters the NVC processing stage.

The third timeline is CEAC.

This is where users can take or track multiple steps related to fees, DS-260, and documents.

The fourth Timeline is the Visa Bulletin.

For preference categories, the Priority Date needs to be tracked along with the Visa Bulletin.

The fifth timeline is the interview.

As the application reaches the consular stage, the interview schedule and consular requirements become important milestones.

THE BIGGEST PROBLEM IS THAT THESE SYSTEMS ARE NOT A SYSTEM

USCIS is not NVC.

NVC is not CEAC.

CEAC is not Visa Bulletin.

Visa Bulletin is also not an interview schedule.

Each system provides a different piece of information.

Therefore, just because a user checks USCIS and sees "Approved" does not mean the entire settlement process has been completed.

If the application is processed consularly, it may also have to continue through NVC, CEAC and consular offices.

THIS IS WHY TIMELINE IS IMPORTANT

Instead of just displaying:

“Case Approved”

A good records tracking system should show users:

Date of submission.

Receipt Date.

Priority Date.

USCIS Approval.

Date the file is transferred to NVC, if any.

NVC Case Number.

NVC processing start date.

Payment of fees.

DS-260.

Civil Documents.

Financial Documents.

Documentarily Complete.

Visa Bulletin.

Interview.

Medical.

Visa Decision.

Each milestone answers a different question.

WHERE ARE THE RECORDS?

Timeline helps answer the first question.

For example:

USCIS: Approved.

NVC: Processing.

CEAC: Documents Submitted.

Visa Bulletin: Not current.

At this point, users can understand that records do not necessarily stand still.

Different steps are taking place in different systems.

WHAT MORE STEPS?

This is the more important question.

A good tracker doesn't just say:

“Case is waiting.”

It should identify what stage the application is at and what steps are involved that need to be checked.

For example:

USCIS Approved.

NVC is not complete.

Users need to focus on NVC instead of continuing to check USCIS every day.

Or:

The file was DQ.

Users need to follow the interview schedule and follow-up instructions instead of continuing to upload unnecessary documents.

OR:

Visa Bulletin is not current yet.

Users need to continue to monitor Priority Date and Visa Bulletin instead of expecting the interview schedule to appear immediately.

AUTOMATION IS DIFFERENT THAN JUST SENDING NOTIFICATIONS

An application sends a notification:

“USCIS has an update.”

Not sure if the problem has been resolved.

Users also have to open the app, find the profile and understand for themselves what the change means.

An automated system should preferably take three steps:

Change detection.

Record changes.

Explain the change in the context of the record.

For example:

Old status: Case Was Received.

New status: Case Was Approved.

Updated date: 14 AUG 2026.

Next milestone: Monitor the process of transferring documents if subject to consular processing.

This is more useful than a simple notification.

WHAT IS THE BENEFIT OF USCIS AUTOMATIC TRACKING?

USCIS may update records at any time.

Users do not need to open the website continuously if they have the system
